Our method

AI can only run well what a company already does in a consistent way. That is why implementation comes after three steps of organization: assessment, process design, and SOPs and playbooks.

01

Assessment

We start with a process and AI readiness assessment: a complete picture of how the business runs today, from the point of view of the people who make decisions and the people who do the work.

What we do

  • Interviews with the board, managers and frontline team.
  • Technical questions on how each process runs, who runs it and which systems are involved.
  • Every session is recorded, and the transcripts are used to build a full map of the operation.

What the company keeps

  • An end-to-end map of the operation
  • Bottlenecks and rework identified
  • Priorities for the next steps
02

Process design

We define how each process should run and who owns each step, drawing on the company's own best practices and on market standards. You choose which areas are included.

Areas that can be included

  • Marketing, communications and demand generation.
  • Sales and sales management.
  • Delivery and customer value, such as customer success, logistics and technical teams.
  • Finance, accounting and administration.
  • People and culture.

What the company keeps

  • A defined process for each area
  • An owner for every step
  • Quality standards and KPIs
03

SOPs and playbooks

We turn what was defined into manuals that describe the operation end to end. Each manual covers the roles, the current owners and the tasks in the order they happen. The role comes before the person, because when someone leaves the role remains, and whoever steps in knows exactly what to do.

Manuals we can create

  • Operations manual
  • Culture playbook
  • Marketing and communications manual
  • Sales playbook
  • Delivery process manual
  • Finance and administration manual

What the company keeps

  • The whole operation documented
  • A knowledge base for training people
  • The parameters AI will follow
04

AI implementation

With processes defined and documented, we choose which steps AI will handle and set up the environment for it. Without a defined process, AI has nothing to work from and simply repeats the disorder that already exists.

What we do

  • Choosing the right AI model for each use.
  • Assessing whether new systems are needed.
  • Governance: company accounts, individual access and an AI acceptable use policy.
  • AI training for employees on the tools and the policy.
  • Building projects and skills with the company's knowledge.
  • Integrations to automate repetitive tasks.
  • A pilot in one area, measured results, then rollout to the rest.

What the company keeps

  • AI handling the repetitive steps
  • A secure environment owned by the company
  • A roadmap with owners and deadlines
05

Team training

We train the team to run the new processes and to develop the skills AI can't replace. As AI takes over repetitive office work, each person's value shifts to their ability to analyze, decide and build relationships. Training also works on that change in mindset, so the team moves from carrying out tasks to thinking about the business.

Skills we develop

  • Communication
  • Critical thinking
  • Judgment and decision-making
  • Emotional intelligence
  • Behavioral analysis
  • Relationship building

What the company keeps

  • A team running the new processes
  • Internal champions ready to train others
  • People who bring more value to the company
